Terms of Service

Last updated · October 9, 2026

These terms govern your use of Transcribe.solutions (the “Service”). Please read them before using it.

1The service

The Service is operated by Transcribe Labs LLC (a Wyoming, USA company). It turns one-on-one interview recordings into written transcripts: multiple transcription engines run in parallel and cross-correct each other, and uncertain names and terms are surfaced for you to confirm before you export.

2Your account

  • You sign in with an emailed code — no password. You are responsible for keeping access to your email secure.
  • One email is one account; your balance and transcripts belong to that email.
  • If you breach these terms, we may suspend or close your account, with advance notice except where unlawful activity is involved.

3Fees, plans and top-ups

  • The Service offers two ways to transcribe. High precision is charged by the actual duration of the audio: a plan includes a set number of high-precision hours per billing period, and a transcription uses your trial minutes first, then the current period’s high-precision hours, then your prepaid balance. The local engines run on your own computer through the local app we provide and can be used without limit; their multi-engine merge step runs either on a service you connect yourself, which bills you for it directly, or on ours, charged to your balance at the rate shown on the pricing page.
  • Rates are per hour and billing is prorated to the exact second: we never round the duration up. Cost = actual seconds ÷ 3600 × the hourly rate, and the resulting amount is rounded to the nearest cent (e.g. 3 min 29 s = 209 ÷ 3600 × the rate). We hold an estimate against your balance at upload, settle on the server-measured length once the job completes, and return the difference.
  • A single rate applies to all 27 audio languages, billed in USD (priced in CNY in mainland China). Current prices are the ones shown on the pricing page and the upload page. A change to the pay-as-you-go rate does not affect transcriptions submitted before it; a change to a plan price takes effect from your next billing period, and we will email you in advance.
  • The rate is locked in at the moment you submit a transcription: later rate changes do not affect jobs already submitted.
  • Plans renew monthly and can be cancelled at any time; after cancelling you keep the plan until the end of the current period. High-precision hours not used in a period expire at its end and cannot be exchanged for cash or transferred. An upgrade takes effect immediately at the new plan’s full price, the billing period restarts that day, and the remaining high-precision hours of your previous plan carry over into the new one.
  • “Unlimited” use of the local engines covers your own normal use. If we see automated bulk submission, resale, or usage clearly beyond normal use, we will contact you first and may, if necessary, slow down or suspend use of the local engines; this does not affect high-precision hours you have paid for or your balance.
  • Account balance is non-transferable and cannot be withdrawn as cash; it may only be used to pay for transcription. See section 4 for refunds.
  • You cannot start a new high-precision transcription when your available hours and balance are both too low.

4Refunds

  • Unused balance: within 14 days of a top-up, you may request a full refund of any unused portion of that top-up, returned to the original payment method. Sign-up credit is not a payment you made and is not included in a refund.
  • Plan fees: within 14 days of your first subscription, and provided none of the current period’s high-precision hours have been used, you may request a full refund and the plan ends at once. Otherwise the current period is charged as started; you can cancel at any time and keep the plan until the period ends.
  • Closing your account: if you close your account more than 14 days after a top-up, write to us before you do and any unused top-up balance is still returned to the original payment method (sign-up credit excluded). If the original payment method can no longer receive a refund, we will agree another way with you. Closing your account also cancels your plan’s automatic renewal; any remaining high-precision hours are deleted with the account.
  • Quality claims: if a transcription has an obvious quality problem, email hello@transcribe.solutions within 7 days of delivery, naming the file and pointing to the specific places you consider wrong. We review those places against the original audio and reply with our conclusion within 5 business days. Where we assess the problem to be a serious quality defect caused by us, that transcription (including any post-processing based on it) is refunded in full, to your balance or to the original payment method, your choice. The refund covers that transcription only; it does not extend to your other transcriptions or to the rest of that top-up. If that transcription used high-precision hours from your plan, the refund is credited to your balance at the pay-as-you-go hourly rate. Audio is deleted automatically 7 days after delivery, which is why claims must be made within that window.
  • Jobs that fail due to maintenance or third-party engine faults are not charged.
  • Any statutory right of withdrawal or refund you have under the laws of your jurisdiction is not limited by this section.
  • Referral credit: credit earned through referrals is spent before your top-ups, is not included in any refund amount, and cannot be withdrawn or transferred.
  • To request a refund, contact hello@transcribe.solutions. We process requests within 5 business days.

5Your content

  • The audio you upload and the transcripts produced from it belong to you.
  • You authorize us to process that content solely to provide the transcription (including sending it to the categories of processors described in section 6). We do not use it for training and do not sell it.
  • You confirm you have the rights to the recordings you upload, including any consent from the people in them required by applicable law.

6Third-party processors

To produce your transcript, your content passes through these categories of third parties: transcription engines, text-consolidation and proofreading services, fact-checking lookups, email delivery, and payment processing. The categories are set out in our Privacy Policy, where a complete list of the specific providers is available on request; data is shared only as needed to provide the Service.

7Data retention

  • Original audio is kept for 7 days after transcription so you can re-download it, then deleted automatically. With the local engines, the recording is not uploaded to us and stays on your own computer.
  • Transcripts are kept for 30 days, then deleted; please export (.docx/.txt) to keep them.
  • Closing your account deletes all your content permanently; any remaining balance is handled under the refund terms in section 4.

8Quality and liability

  • Automated transcription and the review checklist are aids, not guarantees of accuracy; the authoritative transcript is the version you confirm. We are not liable for losses from using a transcript you did not confirm.
  • We work to keep the Service available but do not promise it will be uninterrupted; a job that fails due to maintenance or a third-party engine is not charged.
  • To the fullest extent permitted by law, our total liability is capped at the amount actually paid for the order giving rise to the claim.

9Prohibited use

Do not upload unlawful content; do not use the Service to violate anyone’s privacy or other rights; and do not reverse-engineer, scrape, or abuse the Service (including mass-registering accounts to farm sign-up credit).

10Changes and governing law

Changes are posted on the site 7 days in advance; continuing to use the Service means you accept them. These terms are governed by the laws of the State of Wyoming, USA, without regard to its conflict-of-laws rules, and disputes arising from the Service will be brought in the courts of competent jurisdiction located in Wyoming. Any mandatory consumer-protection law of your place of residence applies where relevant.
