Privacy Policy

• ·Your email address — to identify your account and send login codes.
• ·Top-up and charge records — for billing, statements, and invoices.
• ·The audio and transcripts you upload — used only to produce your transcription.
• ·Job metadata (file name, duration, language) — for managing jobs and itemizing your bill.
• ·Your IP address — to rate-limit login codes and to prevent abuse of the Service, such as mass-registering accounts from one network to farm sign-up credit. Rate-limiting records are cleared automatically after two hours; the IP recorded at sign-up is kept with your account.
• ·A content fingerprint of your audio — a hash computed from the audio that cannot be turned back into audio, used to recognize the same recording being uploaded again so that sign-up credit is not claimed twice for it.
• ·Where you came from — the domain of the site that referred you on your first visit, any campaign parameters in the link, the page you landed on, and a referral code if the link carried one. We use this to understand which channels bring users; it does not include your browsing history and is not shared with third parties.

We do not collect personal information unrelated to the Service, and we do not run tracking ads.

Interview recordings usually contain the voices and words of other people, such as the person being interviewed. For that information you are the data controller, and we act only as a processor following your instruction to transcribe it. Please obtain any consent required by applicable law before recording.

To produce your transcript, audio or text is shared with these categories of processors, only as needed:

• ·Transcription engines: several run in parallel so the best result can be chosen.
• ·Text-consolidation and proofreading services: merge the parallel results and produce the review checklist.
• ·Fact-checking lookups: verify uncertain names and terms.
• ·Email service: sends your login code.
• ·Payment service: handles top-ups and invoicing as merchant of record; we never see your card number.

A complete, current list of the specific providers is available on request and kept up to date as the Service evolves. Our agreements with each processor limit them to processing for the Service only, with no retention for training.

We operate from the United States, and the categories of processors listed in section 3 are located primarily in the United States. If you are in the European Economic Area, the United Kingdom, or Switzerland, your data is transferred outside your region. For those transfers we rely on the safeguards in our agreements with each processor — normally the European Commission’s Standard Contractual Clauses, together with the UK International Data Transfer Addendum for transfers from the United Kingdom — or on an adequacy decision where the processor is in a country covered by one.

• ·Original audio: kept 7 days after transcription, then deleted automatically.
• ·Transcripts and review data: kept for 30 days, then deleted; please export to keep them.
• ·Account closure: deletes all audio, transcripts, review data, and the IP recorded at sign-up; billing records are retained for the period required by financial regulations.

Data is encrypted in transit over HTTPS and stored in access-controlled cloud services. Sign-in uses a one-time code and a short-lived session, so there is no password to leak. If a security incident affects your data, we will notify you within the time required by applicable law.

You can access, export, correct, or delete your data, or close your account. You can also ask us to stop or restrict a particular use of your data, object to a particular processing, or stop sharing it with a third party. Use the in-product settings page, or email hello@transcribe.solutions.

The Service is for adult professional users and is not directed to children under 16.

Changes are posted on the site in advance; significant changes, such as a new use of data, are also sent by email.
